Job Responsibilities:
General
• Complete onboarding, and complete follow up training as assigned.
• Meet with supervisor.
• Communicate and collaborate with Company personnel, clients, and vendors by phone, email, Teams (or similar video conferencing and collaboration technology), and in person on occasion.
• Research information for business and finance functions as assigned by supervisor.
• Prepare reports on work activities and progress toward assignments.
• Keep track of and report time on Company timesheet.
• Other duties in support of the Company’s operations.
Finance
• Scan and electronically file original source documents (receipts, invoices, statements, contracts, etc.)
• Maintain accurate financial records of the Company by posting transactions in QuickBooks Online (QBO) in accordance with GAAP.
• Distribute ACH forms and W-9 forms as assigned by supervisor.
• Prepare client invoices and ensure they are distributed to clients according to Company policies and procedures.
• Collect Clockify reports for all hourly employees and submit by 5pm on the 9th and 24th of each month.
• Enter payroll data into company spreadsheet and submit for approval.
• Enter new employee data into ADP and initiate enrollment in state withholding tax programs when required.
• Follow up with state and local payroll withholding jurisdictions to update and/or close accounts.
• Ensure time tracking reports are produced through Clockify for each client when requested by supervisor; when assigned, compare client reports to Client Fee Analysis report in the company dashboard and identify discrepancies; resolve discrepancies or seek support from supervisor and other team members to resolve when needed.
• Create Utilization report, and other reports as assigned by supervisor; submit monthly reports by 5th of each month.
• Format spreadsheets and enter data into Excel, using formulas and multiple workbooks.
• Use Excel to create reports and prepare presentations.
• Coordinate the monthly consultants’ payment process.
Business Administration
• Translate business objectives into workflows and enter processes into project management system (MS Planner or similar).
• Help design and support projects to solve business problems.
• Track and report on progress toward project goals and objectives.
• Prepare and present reports to supervisor and other personnel.
• Create templates for frequently used Company documents.
• Update Company calendars.
• Manage AI note takers, create meeting summaries, and download data to SharePoint.
• Update and organize company files and folders in SharePoint according to company policies.
Client Engagement
• Perform research and download documents on prospective clients (prospects) as assigned by supervisor.
• Draft client engagement messages and enter approved messages into email templates.
• Create drafts of email campaign pathways for segmented audiences.
• Design and produce client engagement reports.
• Create employee and client surveys in SurveyMonkey, distribute approved surveys, issue reminders as needed, and download reports.
• Update client engagement templates.

Education and Experience:
• High School/G.E.D. required
• Current enrollment in an accredited university required
• Paid work experience required
• Experience in business administration and/or finance (at least two years of combined coursework, internship, or employment) preferred

• CRM’s, Donor Databases, Email Marketing, and/or Fundraising Apps: Active Campaign, Constant Contact, Mail Chimp, DonorPerfect, Raiser’s Edge, NMT, eTapestry, Bloomerang, Little Green Light, Salesforce, QGiv, etc.
• Project Management / Business Process Management: Monday, Asana, MS Project
Job Location:
Work will primarily be performed remotely. Occasionally work may be performed at other locations. A weekly trip to Naples to retrieve mail and scan documents is required, so a driver’s license and clean driving record are required.
Time Commitment:
This is a part-time position. The employee can propose a schedule, which may include some non-business hours for independent work, and once the schedule is agreed to, the employee will be expected to report for work during those hours unless a change in schedule is approved. The employee will keep track of time using the company’s time tracking system.
